Camp To-Do's

2. Check Your Email Often

This is especially important the Friday before camp when we'll be sending you arrival and departure times. Please make New Life Ranch a contact so that our emails will avoid going to your spam folder.

Camp Photos

We know that camp photos are an incredibly important part of camp for parents, and we are always looking to improve the viewing experience. This summer, our app offers the ability to use facial recognition of your camper to create a custom album just for you!

Simply download the New Life Ranch app from the App Store for iPhone and the Google Play store for Android. Be sure to use the same email address you used for registration so you'll have the correct pictures from the week show up in your Photo tab.

How to Set Up Facial Recognition

Facial recognition is only available to guardians of camper that are automatically attached in our system,

On the app, go to the More screen, select My Campers.

  1. Select your camper and tap Add Photo (If the camera is black you need to go to the Settings
    app on your phone, find our app and edit the settings to allow camera access.)
  2. Zoom the camera to make your camper’s face the same
    size as the oval.**
  3. Take 2 or 3 photos to increase accuracy of the facial recognition technology.
  4. Photos are automatically saved. You do not need to press the Save button

When uploading photos of your campers for facial recognition, please follow these guidelines:

  • Include a photo where the camper has a straight face.
  • Do not include photos of campers making funny faces.
  • For campers with long hair, include a photo with their hair tied and one with their hair loose.
  • Remove glasses and hats.
  • Make sure there is nobody else in the camera frame.
  • Make sure there is enough light.

Notifications

While your camper is at camp, we'll use the app to send notifications throughout the week. We highly recommend opting to receive notifications, especially Push and Text!

Medical Guidelines

The Medicine Lodge at New Life Ranch is staffed by licensed health professionals (MD, DO, PA, APRN, RN) as well as Nurse Aides. We have a physician who acts as the medical director and provides yearly review of our policies, procedures, and treatment protocols.

Each location has a pharmacy and stocks commonly used medications such as Tylenol, Ibuprofen, Benadryl, and Tums, for as-needed use. Please leave common, over-the-counter (OTC) medications at home unless the camper has a specific allergy to binding materials. New Life Ranch follows American Camp Association standards for medication administration.

If your child takes scheduled medication, the medication will be stored in our health center and dispensed by a licensed health professional at meal times and bedtime. All medications (prescription, over-the-counter, & camper carry) must be checked in when you drop off your camper.  This includes eye, ear, nose, oral, topical and inhalation medications.

To help expedite your check-in process on Sunday, please follow the instructions below:

  1. Please make sure each medication that your camper takes is correct on the medication form you completed during registration. If your camper’s medication or dose has changed since you registered, please contact the office to update the form. All medications, including those carried by the camper, must be on this form.
  2. Please bring the camper who will be taking medications during their stay to the medication check-in station to meet the nurse.
  3. Both prescription and over-the-counter medications are required to be in the ORIGINAL PACKAGE and contain only the medication identified on the container. Do not put medications in pill containers or combine multiple medications into one bottle.
  4. If your child requires a prescription medication, the prescription label must be legible with the camper’s name on it. Please do not use old bottles or those belonging to another family member as they will not be administered per state law and the Nurse Practice Act. Prescription label instructions will be followed. If your child's doctor has recently changed the timing, frequency, or dose of the medication, make sure the prescription label is up to date. No exceptions.
  5. Because Non-FDA approved medications, which include most vitamins, essential oils, and dietary supplements are not regulated, they will only be accepted and administered to your camper if the parent provides a written order that is signed by a licensed provider (MD, DO, NP or PA). This order must identify the camper, dose, route, time of administration, and medication. This is to ensure the safety of your camper and to comply with the Nurse Practice Act. This includes homeopathic items such as Melatonin, gummy vitamins, supplements, etc.
  6. Allergy shots will NOT be accepted or administered during your child’s stay at camp. Please arrange for allergy shots to be administered before the camp session.
  7. The ONLY medications/devices that are permitted to be kept with the counselors/campers are
    1. RESCUE inhalers (along with spacer)
    2. EpiPens
    3. Glucometers for Type 1 Diabetic campers

These are the only medications that our counselors are trained to carry.

All medications can be picked up by parents on the last day of camp. Medications that are not picked up will be disposed of at the end of the summer. Please be sure to stop by our medication return table at the end of your child’s term. If your child has a rescue medication kept by the counselor (EpiPen or rescue inhaler), it is your responsibility to obtain these from your child's counselor when you pick up your child from camp.

Special Camper Circumstances

Health events such as those named above may require a release to come to camp.

Hydration

Our counselors are trained to highly encourage water intake during the summer months of camp. Water is available near most outdoor activities and in the dining hall at meals. Counselors are trained to identify dehydration signs in campers and will encourage hydration consistently while at camp. Please send a refillable water bottle with your camper.

Hand washing

Hand washing is a key component to infection control at camp. Please discuss the importance of hand washing before meals and after toileting with your camper before they arrive.

Lice

Please check your camper for lice BEFORE arriving at camp. If lice or nits are present, please have your child treated before they come to camp. Any camper with untreated lice or nits will not be allowed to participate in camp activities until treated. You will be asked at check-in if you have checked your camper for lice prior to arrival.  If not, they will be required to have a lice check by the camp nurse upon arrival.

Shuttle

We offer a Day Camp shuttle for campers from Northwest Arkansas to Flint Valley Day Camp. We pick up at Ozark Center Pointe Place in Springdale at 7:45am each morning, and we drop off at 4:40pm.

The cost is $70 per camper.

We are unable to prorate this option, so payment for the entire week is required. If you desire to use the shuttle you will need to pay for the entire week, but will not be required to utilize the service each day. When you pick up your camper, please let us know if you will not be utilizing the service the following day.

Camper Safety & Emergencies

New Life Ranch is committed to the safety of your camper. While all camp programs include activities that have some hazard, we are devoted to evaluating all aspects of camp in regards to safety. Our plan covers everything from staff screening/training and child abuse prevention to emergency plans, food safety, aquatic supervision, weather safety and equipment maintenance.

In addition to all of our policies and procedures aimed at preventing accidents, we have a medical team on duty 24/7 and a hospital is 20 minutes away.

Each summer we have the following things in place to prioritize camper safety, and this year those things are in place and all staff were trained on them this week:

1) Local Police Departments have been notified of our camp dates. We have a great relationship with our local police and fire teams.

2) Camp gates remain closed during the day, and are staffed with a greeter from 7am-11pm. This staff is responsible for greeting guests, opening the gate, or turning folks around who should not be on camp property. They have the ability to notify immediately of any threat or concern. The gate is then locked 11pm to 7am.

3) Our staff are trained on the NLR Emergency Action Plan. This includes our response plan to severe weather, intruders on campus (dangerous or not), and active shooter situations.

Additionally, we have internal phone systems throughout camp (that can call the office, the on-call staff, or the medical team) and many of our staff carry radios. This allows for quick communication in the situation of an emergency.

We know the responsibility we have in caring for your camper. Your confidence in our safety plan is vital to us!

Camper Illness

Campers who are ill (with any sickness, covid or otherwise) will either remain in the nurses lodge until our medical team deems they are okay to continue with camp activities, or they will be sent home if the illness persists.

Child Abuse Protection Plan

It is extremely important to us to keep your camper safe from child abuse. Because of this, abuse prevention is intertwined into every part of our camp programming. This starts with the initial screening of staff and after hire, thorough training, monitoring and accountability. No individual, all the way up to Executive Director, can operate outside of our procedures. Our entire staff undergoes extensive training on the protocols we have in place to prevent any type of abuse. After training is completed, each staff member signs a commitment statement signifying their awareness and acceptance of the procedures we have in place to protect children.

In compliance with Oklahoma law, if any of our staff become aware of potential or actual camper abuse, we report any suspicions or information to the appropriate agency immediately.

Other Key Components:

  • All staff applicants must complete an extensive application, undergo a personal interview, submit three references and pass a background check. We run a new background check every year on every staff member.
  • Every staff member and every camper are required to follow our Code of Conduct. This code is communicated to all campers pre-arrival and post arrival so they know what to expect and can easily recognize issues that arise.
  • We practice the Rule of Three. Trips to secluded areas such as bathrooms should involve three people so that no two individuals are alone in private at any given time. For private counseling type situations, counselors are taught to conduct these in public, well lit, common spaces where observance from others is likely to occur.
  • Monitoring is the responsibility of all of our staff because it decreases the opportunity for abuse to happen. The staff all monitor one another, and camp leadership is also constantly monitoring staff and campers. We call this 360 Supervision.
  • Campers need outlets for reporting inappropriate behavior. If a camper is in a situation where they felt threatened, abused, or unsafe, we encourage them to either talk with a staff member, or to use the anonymous reporting system known as the Drop Box located at our Medicine Lodge.

Scholarship Information

Our hope is that finances will never stand in the way of someone coming to camp. We want to help kids and families come to New Life Ranch that might not otherwise because of financial reasons. So, if the financial aspect of camp makes it difficult to imagine sending your child to camp, we want to partner with you and make that a possibility. There is not an income level requirement to apply.

What if I have a balance from a previous year?

If your past balance is something that you have not paid off, we want to partner with you in order to get that resolved so you can move forward with new registrations. That previous balance needs to be paid or we need to have a recurring payment in place prior to requesting another scholarship application. You can then complete the new application.

What if my scholarship isn't enough?

Please let us know. As mentioned before, we never want finances to stand in the way of someone coming to camp. We want to partner with you in this process. If the award does not meet your needs, we can always review your information and attempt to provide more assistance if it is available.

How do I apply for a scholarship?
+

The easiest way to apply. Go ahead and start your Summer Programs registration, and when you reach the Camper Profile form (or the “Additional Information” form for Family Camps, Horse Camps, and Winter Camps) there will be a question that asks, Would finances keep your camper from being able to attend camp? If so, would you like to apply for a need based scholarship? If you say “yes”, you will be asked four additional questions.

After submitting this information along with your registration, we will process your scholarship request after the $50 deposit is received. You may pay the $50 deposit online in your NLR account or by calling the office at 918-422-5506.

Is my camper eligible for a scholarship?

Yes! If the financial aspect of camp makes it difficult to imagine sending your child to camp, we want to partner with you and help make it easier. There is not an income level requirement to apply.

What portion of the cost am I responsible for?
+

All scholarships are based on the least expensive week of camp. The amount you are able to invest in your campers experience does not always cover your registration fee beyond the scholarship awarded if you choose a more expensive week of camp. The scholarship award will not cover any camp “extras”- this includes things like paid activity classes (don’t worry- there are plenty of free activity classes available), canteen deposits, t-shirts, and camp pictures. The scholarship award can only be applied to the base fee for the session. There is a $50 non-refundable deposit required at registration.

Are there specific weeks designated for scholarship recipients?

No, Any camper can attend any week of camp, provided there is space available. However, the scholarship awards are typically based on the least expensive weeks of camp. You can still send your child to a more expensive week, but your portion responsible will be greater than if you went to the least expensive.

*This does not include extras, like canteen deposit and paid activity classes.

What do you need along with my application?

We will need an explanation of your financial circumstances. This does not have to be lengthy, but rather a summary of your situation. We will also need to have a letter from your camper about why they would like to come to camp. (The camper letter is not required for Family Camps.) We do not need financial records, tax records or other paperwork along those lines.

When will I know I have received a scholarship?
+

We typically begin awarding scholarships in February. Any requests made for scholarships made after February are generally answered within 21 buisness days.

Please note: if you submit your scholarship application less than 48 hours before the start of an event, we may not be able to give you an answer before the event starts. In the rare instances when this occurs, we still want your camper to attend the event even if you may not have an answer yet regarding your scholarship award. You will want to speak to the Administration Coordinator (info@newliferanch.com) if this is your situation. They will assist you with details about check-in and payment since your scholarship application is still “in process”.

How many scholarships can I apply for?

Due to the volume of scholarship requests we receive, we limit assistance to two events per calendar year. If applying for a need based scholarship, the camper or family must have an account in good standing (meaning zero balance or payment plan in place) from previous events in order to receive a scholarship.

Where does the scholarship money come from?
+

Mission 19:14 is our camper scholarship fund. Jesus said, “Let the little children come to me, and do not hinder them, for the kingdom of heaven belongs to such as these.” Matthew 19:14. We receive donations to this fund from numerous individuals, foundations and organizations.

Food Allergies & Special Diets

Meal Replacement Option

Requesting a special diet can be a stressful undertaking for campers, as well as for parents. Our goal is to make the process of requesting a special diet as simple as possible, and to relieve any fears or concerns you may have. We want to give everyone the opportunity to attend camp—even with special diet considerations. We also want to reduce any possible stigma that may come from having a special diet. We are making every effort to address this issue to our full capability. Therefore, NLR has created an option where any camper can purchase a separate, allergen free meal that has been specifically prepared to mirror the meal that the rest of the campers will be receiving – but without the allergens. When they enter the Dining Hall for their meal, they’ll be handed their specially prepared meal directly from our trained food service staffer who knows what they can or can’t eat. Both the camper and parent will rest knowing that this danger has been minimized.

Allergy accommodations

The 9 allergens that we are able to accommodate are: Peanut*, Tree Nut*, Fish*, Shellfish*, Wheat / Gluten, Egg, Dairy,  Sesame, Alpha-Gal, and Soy

*peanuts, tree nuts, fish and shellfish are NEVER used in preparing food served in the dining hall at New Life Ranch. CAUTION, However! Peanuts and tree nuts are ingredients that are available in pre-packaged products sold in our canteen. Therefore, we are not a “nut-free” campus. Also, we are not in control of what snacks other campers may bring from home which could contain allergens. If your child has a peanut, tree nut, fish, or shellfish allergy, we will continue to accommodate meals in the dining hall with no additional charge through our regular service.

A meal replacement option will be available at an additional charge of $36 per Day Camp session to accommodate Wheat/Gluten, Egg, Dairy, Sesame, Alpha-Gal, and Soy allergies. This option is available when you register your camper.

We recognize that other types of allergies exist. Depending on the type of allergy, you may be able to navigate the set menu without having to pay an additional charge. Please email us at allergy@newliferanch.com to request the summer menu and evaluate if the planned meals will work within your special diet needs. In addition, there is a well stocked “all you can eat” salad bar that accompanies almost every meal.

The dining hall will not be able to store food for campers that is brought from home.

New Life Ranch Food Service makes effort to identify ingredients that may cause allergic reactions for those individuals with food allergies.  Effort is made to instruct our food production staff on the severity of food allergies. Packing List

  • A bag or backpack. All their clothes and accessories should fit in this bag
  • Modest clothing suitable for physical activity
  • Swimsuit (One piece swimsuits for girls - tankinis are fine as long as the top overlaps the bottom)
  • Closed-toe shoes (many activities, such as ropes course activities and horse rides require closed-toe shoes to participate)
  • Towel
  • Creek shoes or sandals with a back strap (flip flops get washed away in our creek activities)
  • Any prescription medication taken during the day
  • Insect repellent
  • Sunscreen!
  • Extra change of clothes, just in case
  • Optional: Bible, notebook, and pen! You will be provided with a Word Booklet, but you are welcomebring these things for further note taking or reading.
  • NLR will provide lunch and a snack each day

Cancellations

If your camper becomes ill during the week, we will refund a portion of the camp fees (sorry, no refunds for homesickness). There is no cancellation deadline, but if you decide to cancel, please do so as soon as possible to allow another camper to come to camp.

Insurance

If your camper should require a doctor’s visit or prescription while at camp, you will be solely responsible for the charges incurred. You will be contacted before non-emergency doctor’s visits and your insurance information will be confirmed at that time. We must have your insurance information on file for your camper to attend camp.
